Legal intake by phone
The agent collects the matter type, what happened and when, the jurisdiction, the parties involved, deadlines the caller knows about, and how they found you, using the intake questions your firm approves for each practice area.
Answering Service for Law Firms
A phone answering service built for law offices: every potential client reaches a calm, consistent intake conversation, urgent matters reach an attorney, and every call lands in your intake system with the details you need to decide whether to take the case. Runs on your existing numbers, around the clock, in English and Spanish.
Who This Is For
What the Service Includes
The agent collects the matter type, what happened and when, the jurisdiction, the parties involved, deadlines the caller knows about, and how they found you, using the intake questions your firm approves for each practice area.
Names of opposing parties and other involved persons are captured up front so your team can run the conflict check before anyone at the firm speaks in detail with the caller.
Arrests, protective orders, filing deadlines, and other situations you define as urgent transfer immediately to the attorney or staff member on call, with the transcript sent ahead.
Consults are booked into your calendar or intake platform with the durations, attorneys, offices, and buffers you set, followed by confirmation and reminder messages.
Current clients are recognized by number or name, routed to the right attorney or paralegal, or given a message path, so intake lines stay clear for new matters.
The agent explains what your firm does, collects facts, and schedules. It never advises on the caller's situation, quotes outcomes, or creates an attorney-client relationship. Those boundaries are written into its instructions and tested.
A caller who has just been in an accident, been served, or been arrested is stressed and is calling several firms in a row. The firm that answers first, asks sensible questions, and books a consult usually gets the matter. That is why the answering service for a law firm cannot be a message pad: it has to run intake, recognize urgency, and put the caller on the calendar while they are still on the line.
The intake also has to be careful. Facts must be collected without advice being given, opposing parties must be captured for the conflict check, and nothing said on the call should create expectations the firm cannot meet. A generic AI receptionist trained on a website does not know those rules. This service is built from your intake questions and your boundaries, practice area by practice area.
The phone is answered on the first ring by a calm voice using your firm's name. The agent asks what the call is about, listens, and follows the intake path for that matter type: an injury intake asks about the date, the other driver, insurance, and treatment; a family law intake asks about children, the county, and whether there is an existing order; a criminal intake asks about custody status and the next court date. Names of other parties are collected for the conflict check. If the caller describes something you defined as urgent, the agent transfers to the attorney on call and sends the transcript ahead.
Otherwise the agent offers the next available consultation with the right attorney, books it, and sends a confirmation with directions or a video link and a short intake form. Existing clients are recognized and routed to their attorney or paralegal. The entire call, with a summary and the intake fields, appears in your practice management system before the caller hangs up.
DPI runs the agent on an Asterisk-based telephony core that connects to your existing phone system over SIP. Your numbers, carriers, and extensions stay as they are; calls forward to the agent after hours, on overflow, on no-answer, or always, and the agent can transfer back to any extension or mobile. Intake data, appointments, and messages flow into Clio, Lawmatics, Smokeball, MyCase, PracticePanther, CASEpeer, or Filevine through their APIs, so nothing has to be re-keyed and nothing sits in an inbox.
Speech recognition and synthesis can run on open-source models, and the language model can be hosted or self-hosted depending on your confidentiality requirements. Transcripts and recordings, where you enable them, are stored with access controls and the retention limits your firm sets, and recording announcements follow the consent rules of the caller's state.
A dashboard with every call, its matter type, its outcome, the consults booked, and the transfers made, plus transcripts for review. Weekly reviews in the first month catch phrasing your attorneys want changed and questions the script did not anticipate. Monthly, we report answered-call rate, consults booked, urgent transfers, and the changes shipped. As the firm grows, the same agent can send consult and court-date reminders, collect documents by text, and cover the front desk entirely.
How It Works
We turn your current intake questions, practice areas, fee models you want mentioned, and urgency rules into the agent's script. Anything you do not want said stays unsaid.
Clio Grow or Clio Manage, Lawmatics, Smokeball, MyCase, PracticePanther, CASEpeer, or Filevine connected for leads and calendars; SMS and email set up for confirmations and intake forms.
Your attorneys and staff call the agent with the calls you actually get: a car accident last week, a spouse who left with the kids, a bond hearing tomorrow. We tune wording, questions, and routing until they approve.
Forwarding is switched on in the mode you choose: after hours, overflow, or always. Weekly transcript reviews in the first month, then monthly reporting on answered calls, consults booked, and matters routed.

FAQ
Not if it is built correctly. The agent's instructions limit it to describing the firm, collecting facts, scheduling, and routing. It is tested against attempts to extract advice and answers those with a scheduled consult or a transfer. Your firm reviews the script before launch and the transcripts after.
Intake details are written only to your practice management system and to the people you designate. Transcripts and recordings, if enabled, follow your retention rules. Call recording follows the consent laws of the caller's state, and the agent can announce recording where required. Ask us about a data processing agreement for your firm.
You define urgent categories: an arrest, an imminent hearing, a protective order, a deadline within days. Those calls transfer immediately to the attorney on call or trigger an alert with the transcript. Everything else becomes a scheduled consult or a message.
Yes. Leads, contacts, and appointments are created in Clio Grow, Lawmatics, Smokeball, MyCase, PracticePanther, CASEpeer, or Filevine through their APIs. If your firm uses a tool not listed here, we check the integration during discovery.
Yes. The agent can run intake in English and Spanish and record which language the caller used so the right staff member follows up.
Human services take messages and read scripts; they rarely run full intake, book consults into your calendar, or write to your practice software. The agent does all three, answers instantly with no hold queue, and costs less at volume. Where you still want a human, the agent transfers to one.
Setup is a fixed scope. Ongoing operation is a monthly service sized by call volume and integrations, quoted in writing after a short call about your practice areas and tools.
