Maintenance intake and work orders
The agent collects the property, unit, issue, access permission, and photos by text, then creates the work order in your property management system with the right category and priority.
Answering Service for Property Management
An answering service built for property managers: maintenance calls sorted by urgency and turned into work orders, emergencies escalated to the on-call vendor, leasing calls answered with current availability and showings booked, tenant questions handled consistently across every property. Runs on your existing numbers, day and night.
Who This Is For
What the Service Includes
The agent collects the property, unit, issue, access permission, and photos by text, then creates the work order in your property management system with the right category and priority.
No water, no heat, flooding, gas odor, lockouts, fire or security issues: your emergency list triggers an immediate transfer to the on-call staff member or vendor, with the transcript sent ahead.
Availability, rent, deposits, pet policy, and application steps answered from your current listings, and showings booked into your calendar or showing tool with confirmation texts.
Rent payment options, portal help, office hours, amenity rules, move-out procedures, and package questions answered from approved information, with routing to accounting or the manager when needed.
Vendors calling for access, confirmation, or completion notes are handled, and updates are written to the work order.
Every prospect and resident hears the same approved information, every call is transcribed, and nothing is improvised, which supports fair housing practice and gives you a record of what was said.
A property management phone line carries three businesses at once: maintenance, leasing, and resident service. A resident with a flooding bathroom needs someone now; a prospect asking about a two-bedroom needs an answer before they call the next listing; a resident asking about a late fee needs accounting, not the on-call plumber. Human answering services cannot tell these apart, so they page the manager for everything or take a message that waits until morning.
An answering service for property management has to sort calls by rule, create the work order or the showing on the spot, escalate real emergencies to the right person, and say the same approved thing to every prospect. This service is built around your maintenance policy, your listings, and your property management system.
The call is answered immediately with your company name. A resident reporting a problem is asked for the property, unit, what is happening, and whether the agent may authorize entry; if the issue matches your emergency list, the on-call staff member or vendor is connected while the details go ahead. Otherwise a work order is created with the category and priority you defined, and the resident receives a confirmation with the expected response window and a way to send photos by text.
A prospect hears current availability, rent, deposit, pet policy, and application steps for the property they asked about, and can book a showing that lands in your calendar with a confirmation. A resident with a payment or portal question gets the approved answer or a transfer to accounting. A vendor calling with an update has it written to the work order. Nothing is improvised: when the agent has no approved answer, it takes a message or transfers.
DPI runs the agent on an Asterisk-based telephony core connected to your phone system over SIP; your numbers, including property-specific lines, forward to it in the mode you choose, and it can transfer to any office extension, on-call mobile, or vendor. Work orders, contacts, notes, and appointments are created in AppFolio, Buildium, Yardi, Propertyware, or Rent Manager through their APIs, so your coordinators work from the same queue they use today.
Speech and language models are chosen per workload, with self-hosted options where you want call data kept inside your own environment. Every call is transcribed and logged with the property, the unit, the outcome, and the record it created.
A dashboard with every call, its type, the work orders and showings created, the emergencies escalated, and the transfers made, plus transcripts for review. Weekly reviews in the first month refine emergency rules and add the resident questions the script did not anticipate. Monthly, we report answered-call rate, work orders by priority, showings booked, escalations, and the changes shipped. As the portfolio grows, the same agent can send rent reminders, schedule inspections, run renewal outreach, and cover additional offices or brands.
How It Works
We gather your properties, units, office hours, emergency definitions, vendor rotation, leasing rules, and the questions your leasing and maintenance teams ask, and write the agent's scripts.
AppFolio, Buildium, Yardi, Propertyware, Rent Manager, or your system connected for work orders, contacts, and units; calendars and showing tools connected for appointments; SMS configured for confirmations and photos.
Property managers, leasing agents, and maintenance coordinators call the agent with real scenarios: a flooding bathroom at midnight, a prospect asking about a two-bedroom, a resident asking why a late fee was charged. We tune until they approve.
Forwarding is switched on after hours, on overflow, or always. Weekly transcript reviews in the first month, then monthly reporting on calls, work orders, showings, and escalations.

FAQ
By your list. Typical emergencies are no water, no heat in cold weather, flooding, gas odor, fire or security issues, and lockouts; everything else becomes a work order with the priority you set. You can change the list per property or season.
Yes. Work orders, contacts, and notes are created through the APIs of AppFolio, Buildium, Yardi, Propertyware, and Rent Manager, with the unit, category, priority, access permission, and the caller's description. Photos sent by text are attached where the system supports it.
Yes. It answers from your current listings and policies, books showings into your calendar or showing tool, and sends confirmations and directions. Application steps and links are sent by text.
Every prospect hears the same approved information, delivered the same way, and every conversation is transcribed. The agent never speculates about neighbors, schools, or who lives in a building, and questions outside its script are routed to a leasing agent. Your compliance review of the scripts happens before launch.
Vendors calling for access, confirmation, or completion updates are recognized, and their updates are written to the work order. After-hours access rules follow your policy, with a transfer to on-call staff where needed.
Always. Transfers go to the office during hours, to the on-call staff member for emergencies, and to accounting or the manager for questions the agent should not answer, with the transcript sent ahead.
Setup is a fixed scope. Ongoing operation is a monthly service sized by call volume, properties, and integrations, quoted in writing after a short call about your portfolio and tools.
